At Shuto Nisshin International Academy, we strive to properly handle the personal information and specified personal information of our customers, business partners, employees, and all related parties based on the following policies.

1. Compliance with Laws and Regulations

We will appropriately handle personal information and specified personal information in compliance with the “My Number Act,” the “Act on the Protection of Personal Information,” other relevant laws and regulations, the “Guidelines for the Proper Handling of Specified Personal Information (for Businesses),” and internal company rules.

2. Acquisition and Use of Personal Information

When obtaining personal information directly in writing from customers, business partners, or employees, we will clearly indicate the purpose of use. In other cases, we will notify or publicly announce the purpose of use.
We will not use the personal information of customers, business partners, or employees beyond the scope necessary to achieve the purpose of use unless prior consent has been obtained or permitted by law.

3. Management of Personal Information

We will implement necessary measures to prevent the leakage, loss, or damage of personal information and manage it appropriately.
We will supervise employees regarding the handling of personal information, and when outsourcing the handling of personal information to external contractors, we will also supervise such contractors to ensure proper management of personal information.

4. Provision of Personal Information to Third Parties

We will not provide personal information of customers, business partners, or employees to third parties without prior consent (including outsourcing within the scope necessary to achieve the purpose of use), unless permitted by law.

5. Disclosure, Correction, Suspension of Use, etc. of Personal Information

If customers, business partners, or employees request notification of the purpose of use, disclosure, correction, or suspension of use of their personal information, we will confirm the identity of the requester and respond in accordance with applicable laws and regulations.

6. Purpose of Use of Specified Personal Information

We will use specified personal information of business partners for the following purposes:

  1. Procedures related to withholding tax

  2. Preparation of dependent deduction declaration forms, insurance premium deduction forms, and spouse special deduction declaration forms for salaried employees

  3. Preparation of salary payment reports

  4. Preparation of change notifications for salaried employees related to special collection of salary payment reports

  5. Preparation of applications for switching to special tax collection

  6. Preparation of separate payment records for retirement benefits

  7. Preparation of retirement income declaration forms

  8. Preparation of property formation housing savings / property formation pension savings declarations, notifications, and applications

  9. Social insurance, welfare pension, and corporate pension notification procedures

  10. Notification procedures for Category 3 National Pension insured persons

  11. Social insurance, welfare pension, and corporate pension application and claim procedures

  12. Employment insurance and workers’ accident compensation insurance notification procedures

  13. Employment insurance and workers’ accident compensation insurance application and claim procedures

7. Provision of Specified Personal Information

Except when permitted by law, we will not provide specified personal information of business partners or employees to third parties.

8. Safety Control Measures

We will take necessary and appropriate safety control measures to manage personal information and specified personal information and prevent leakage, loss, or damage.
We will also exercise necessary and appropriate supervision over employees and contractors (including subcontractors) who handle personal information and specified personal information.
We have also established separate “Personal Information and Specified Personal Information Safety Management Rules.”

9. Establishment of Internal System

We will appoint a person responsible for handling personal information and specified personal information, make continuous improvements, and strive to maintain a sufficient and secure management system.
